How does FlowLogic pay work before and after a sleepover?
How sleepover shifts are paid from the Cost Category, what the 1 June 2026 sleepover setting changes, when overtime starts, breaks after a sleepover and how wake-ups are paid.
Key Points
A sleepover is paid from the staff member's Cost Category: the moon icon on the rostered shift pays the sleepover allowance, and the active hours before and after it are paid at your normal rates.
For the SCHADS sleepover changes from 1 June 2026, FlowLogic added a Cost Category setting, Use JATS sleepover and overtime interpretation rules. Check each Cost Category to see whether it's ticked.
With the setting on, the work before and after the sleepover is paid on its own, by the time of day it covers. Overtime on a shift with work on both sides of the sleepover starts at 12 hours, and double time at 14 hours.
Because the setting is on each Cost Category, it applies to the staff paid on that Cost Category. You can check or change it in the Cost Category's Rates.
Wake-ups are recorded as a total on the timesheet and paid at the wake-up or overtime codes on the Cost Category.
How is a sleepover shift set up and paid?
Roster the overnight shift as one shift with its real start and end times. FlowLogic splits it at midnight into two linked halves and shows the moon icon on the first half. The moon icon is what pays the sleepover allowance. See How do I create an overnight or sleepover shift?
The sleepover time range, such as 10pm to 6am, comes from the Cost Category. Hours inside it are inactive and paid as the sleepover allowance. Hours outside it are active and paid at the Cost Category rates.
If your organisation uses different sleepover times on some shifts, Support can turn on sleepover overrides. You can then set custom sleepover start and end times on the rostered shift.
If the staff member is awake all night, turn on Awake on the shift. The whole shift is then paid at active rates, with no sleepover allowance.
Staff should clock on and off once and submit one timesheet for the whole overnight shift. Clocking off at midnight or submitting two timesheets causes wrong pay.
What changed for sleepovers from 1 June 2026?
The Fair Work Commission changed the SCHADS Award sleepover rules from 1 June 2026. To support this, FlowLogic added the Use JATS sleepover and overtime interpretation rules setting for Export Timesheets on 28 May 2026. How you apply the award, including keeping some staff on their existing arrangement, is your organisation's decision.
What the setting does
Setting off: the sleepover counts towards the higher rate for the whole shift. If Apply Higher Rate to Whole Shift Duration is on, the work before and after the sleepover can be paid at the night rate.
Setting on: the sleepover doesn't count towards the higher rate. The work before and after the sleepover is worked out on its own, by the time of day each part covers. For example, an evening part before the sleepover is paid at the afternoon or evening rate, and weekday work after the sleepover is paid at the ordinary rate until overtime starts.
The setting also changes the overtime limits for these shifts. See the next section.
Who turns it on or off?
The setting is on each Cost Category. You need access to Cost Categories to change it. To check it or turn it on or off:
Go to Finance and Payroll > Cost Categories.
Click Action next to the Cost Category, then Rates.
Tick or untick Use JATS sleepover and overtime interpretation rules, then save your changes.
Repeat for each Cost Category your sleepover staff are paid on.
Can it apply to some staff and not others?
Yes. Each staff member is paid on their Default Cost Category, or on a cost override on the shift. Staff on a Cost Category with the setting on are paid the new way, and staff on a Cost Category with it off are paid as before. If you want to keep some staff on the old arrangement, they need their own Cost Category. See How do I add or duplicate a cost category?
When does overtime start on a shift with a sleepover?
Setting on, with work on both sides of the sleepover: overtime starts after 12 hours of work and double time (Overtime 2) after 14 hours. These limits are fixed. They don't change with your Cost Category's own overtime limits.
Setting on, with work on one side only: your Cost Category's normal daily overtime limit applies.
Setting off: your Cost Category's normal daily overtime limit applies, for example 10 hours.
The 12-hour limit comes with the setting. It can't be set per staff member, and there's no separate switch for it. If only some of your staff have agreed to 12 hours, contact our Support team about how to set up their Cost Categories.
What break do staff need around a sleepover?
If there's less than 8 hours' break after a sleepover, the next work is paid as out of span (double time). Your organisation can ask Support to turn this rule off.
A shift that starts before your organisation's minimum break between shifts has passed is paid as overtime. The break length is set for your organisation by Support.
For how overtime and out of span work in general, see How does FlowLogic work out overtime, out of span and penalty rates?
How are wake-ups paid?
Staff record the total time they were awake in the wake-up field on their timesheet, in 15-minute steps. FlowLogic records the total, not each wake-up time. Support turns the wake-up field on for your organisation.
If the Cost Category has a wake-up time value set, wake-ups are paid at its overtime and out of span codes. That's why wake-ups can show as overtime in the export. If the value is empty, the wake-up export codes are used.
A wake-up on a shift that runs into a weekend day is paid at the highest rate that applies.
Wake-up hours aren't counted as overtime hours, so they don't appear in the overtime report.
Wake-ups aren't billed automatically.
Do sleepover hours count in roster hours?
No. The scheduled hours under each staff member's name count active hours only, so sleepover (inactive) hours aren't included. The Roster Overview shows sleepover hours separately as inactive hours. See How do I check my team's rostered hours against their contracts?
Why is sleepover pay wrong?
Check these before contacting Support:
The overnight shift is missing the moon icon, or was rostered as two separate shifts.
The overnight shift has more than one timesheet, or the staff member clocked off at midnight.
The staff member is on a different Cost Category from the one you expected, or a cost override is on the shift.
The Use JATS sleepover and overtime interpretation rules setting isn't set the way you expected on that Cost Category.
The sleepover time range on the Cost Category, or the override on the shift, doesn't match the real sleepover.
The shift is marked Awake, so no sleepover allowance is paid.
The break after the sleepover was less than 8 hours, so the next work was paid as out of span.
If everything checks out, contact our Support team with the staff member, the shift date and the pay line you expected.
