How do I record client medications and medication administration?

Use the standard medication Forms to record a client's medications and each dose given, add medications to lists, hide ceased medications and export an administration log.

Key Points

  • Every FlowLogic system comes with standard medication Forms, such as Medication, PRN and Medication Administration. The names and fields can be different in your system.

  • A client's medications are recorded on their record. When staff record that a medication was given, they pick it from that client's own medication list.

  • Admins can add options to a medication list themselves in the Form Editor.

  • To stop ceased medications showing for staff, mark them as ceased and set up the lookup to ignore expired records.

  • To print a medication administration log, build a report on the administration Form and export it to PDF, Excel or CSV.

What medication Forms come with FlowLogic?

Every FlowLogic system comes with a standard set of medication Forms. These usually include:

  • A Medication Form for each of the client's regular medications, with details such as the medication name, dose, time and route.

  • A PRN Form for medications given only when needed.

  • A Medication Administration Form, or medication fields in shift notes or progress notes, where staff record each dose given.

Every organisation sets these up a little differently, so your Forms may have other names, extra fields or sit on a different Tab. Check the client Section in your system to see which medication Forms you have.

How do I record a client's medications?

  1. Open the client's record.

  2. Go to the Tab that holds their medication Forms, often a health or medical Tab.

  3. Add a new Medication record for each regular medication, or a PRN record for each as-needed medication.

  4. Fill in the details and save.

Each saved medication becomes an option staff can choose when they record administration for that client.

How do staff record that a medication was given?

Staff record administration in the Form your organisation uses, such as a Medication Administration Form, a shift note or a progress note. The medication field in that Form looks up the client's own medication records, so staff only see that client's medications.

  1. Open the administration Form or the shift note for the client.

  2. Select the medication or medications given.

  3. Complete the other fields your Form asks for, such as the time and who gave it, and save.

If a staff member can't select any medications, check that their Groups can read the client's medication Forms. See How do I set permissions on Sections and Forms?

How do I add a medication to a dropdown list?

If a medication Form uses a dropdown list of medication names, admins can add new names themselves.

  1. Go to System Menu > Forms.

  2. Click Edit on the medication Form.

  3. Go to the Fields tab and click Edit on the dropdown field.

  4. Under Field Value Resource, select Edit List.

  5. Add a new row for each medication. You can also sort the list alphabetically.

  6. Click Apply Settings, then Save Form.

For more on dropdown fields, see How do I add dropdown, checkbox and layout fields to a Form?

How do I stop ceased medications showing?

Ceased medications stay on the client's record, but they can be hidden from the list staff choose from. This uses a ceased (expiry) checkbox on the medication Form and the Ignore Expired Records condition on the medication lookup field. Once it's set up, marking a medication as ceased removes it from the list straight away.

For the setup steps, see How do I hide expired records from lookup fields? and How do I set up goals and medications that expire?

What do staff see in the Workforce app?

The FlowLogic Workforce app uses the same Forms and Group permissions as FlowLogic on the web. Staff see the same medication Forms and fields in the app as they would on the web.

  • If staff can see a medication's name but not a detail such as the dose, check that their Groups can view that field on the Form.

  • If staff can't see a client's medications at all, check their access to the client and to the medication Forms.

How do I print or export a medication administration log?

Printing a single Form only shows that one record. To get a log of every dose given, build a report on the administration Form.

  1. Create a new report with your medication administration Form (or the Form staff record doses in) as the primary Form. See How do I create a report?

  2. Add the columns you need, such as client, medication, date and time given, and who gave it.

  3. Filter by client and date range.

  4. Run the report and export it to PDF, Excel or CSV.

The export only includes what's showing in the report, so show all rows and check your filters first. See How do I filter, group and export report results?
