Why can't I save a shift on the roster?

The messages that stop a shift saving and how to fix each one.

Key Points

  • When a shift won't save, FlowLogic shows a message explaining what's missing or which rule the shift breaks.

  • Most problems are a missing detail - an Area, a billable or a required field.

  • Roster rule warnings (such as too many hours or too short a break) can be overridden with a reason if your organisation allows it. If it doesn't, the shift has to be changed to fit the rule before it will save.

  • If a staff member is marked unavailable, your organisation may require a reason, or may not allow the shift at all.

  • Which of these apply depends on your organisation's settings.

Roster rule warnings

Your organisation can set rules such as the most hours a staff member can work in a day or week, or the shortest break between shifts. When a shift breaks a rule, a warning shows when you save.

  1. Read the warning to see which rule it is.

  2. Change the shift so it fits the rule, or, if your organisation allows overrides, choose to continue.

  3. Enter a reason for overriding the rule. The reason is kept in the shift history.

  4. Save the shift.

Some organisations protect rule overrides with a password. If you're asked for one, check with your roster manager.

Whether you can override roster warnings is your organisation's choice. With overrides off, a shift with a warning can't be saved until it's changed. To turn overrides on or off, contact our Support team.

Staff availability

If the staff member has marked themselves Unavailable or Maybe Available for that time, you may need to enter a reason to save the shift. If your organisation doesn't allow rostering over unavailability, choose another staff member or ask them to update their availability.

Record affinity rules

If your organisation uses record affinity rules (for example, a client who must only have female support workers), a shift that doesn't meet a mandatory rule can't be saved, or needs a confirmation. Choose a staff member who meets the rule.

Completed shifts

If the shift is completed, your organisation may lock it so it can't be edited. If a completed shift needs changing, contact our Support team.

Still can't save
