How do I create a Calendar event?
Check the Rights you need, then add a date, time, display status, colour, title, description and sharing access for a new event.
Key Points
To create an event, open the Calendar from the left-hand section menu, click New Event, enter the details in the New calendar item window, then click Save.
You need the Globe Calendar, Calendar Functions, Calendar Read and Calendar Add rights. Find them under System > Rights by searching for calendar.
Each event has a date, start and end time, display option (Free, Tentative, Busy, Working Elsewhere or Out of Office), colour, title and an optional description.
Events can be private, shared with one person or shared with several staff. Users with view access see the event on their calendar, and users with edit access can update it.
Click an event to expand it and see its details. With Calendar Edit rights and the right permissions, you can update it from there.
Calendar events are a great way to track meetings, reminders, key dates, and internal tasks. This article walks through how to create a new event and explains the available options.
Required rights
To create events you will need the following rights assigned. Go to System and select Rights, then search for calendar to find them.
Globe Calendar
Basic access to see the calendar
Calendar Functions
Access to calendar features
Calendar Read
View events on the calendar
Calendar Add
Create new events
If you do not have these rights, contact a FlowLogic administrator in your organisation to update your access.
Creating a new event
Navigate to the Calendar in the left-hand section menu. Click New Event in the top-right corner of the screen. A modal window titled "New calendar item" will appear where you enter the event details.
1Set the date of the event.
2Set the start and end time. This creates a clear time block in the daily and weekly views.
3Choose how the event displays. Options include Free, Tentative, Busy, Working Elsewhere, or Out of Office.
4Select an event colour to help it stand out visually. This sets a colour for the individual event, similar to how the palette manager sets colours for forms.
5Add a title. This is what appears directly on the calendar view, so keep it short but meaningful.
6Optionally add a description with additional context, discussion points, or notes. The description field supports basic formatting, including text size, bold, italics, underline, and bullet or numbered lists.
7Set visibility and edit access. Events can be private, shared with a specific person, or shared with multiple staff members. Users granted view access will see the event on their calendar, and users granted edit access can update it.
8Click Save to create the event.
Viewing and editing events
Click an event in the calendar to expand it. Click directly into it to open the full details including the description. If you have Calendar Edit rights and the appropriate permissions, you can also update the event from this view if anything changes.
