How do I post and manage notices on the Notice Board?

Post notices, control who sees them by Area, deal with old notices and let staff know about new ones.

Key Points

  • The Notice Board is a Section for sharing news and reminders with staff, such as policy updates or roster announcements.

  • Staff with add access to the Notice Board post a notice with Add Notice Board Record.

  • Staff see a notice if they can see the Notice Board Section and they have access to the notice's Area.

  • The Notice Board table on the dashboard shows notices from the last 30 days, so older notices drop off by themselves.

  • FlowLogic doesn't email staff about new notices by default. Use an automation if you want to send an email, SMS or notification.

Posting a notice

  1. Open Notice Board from the left-hand menu.

  2. Click Add Notice Board Record.

  3. Enter the Date, a Title and the Notice Information.

  4. Check the Area shown at the top right of the record. Only staff with access to that Area will see the notice.

  5. Save the record.

If you can't see Add Notice Board Record, your Group doesn't have add access to the Notice Board. Ask your FlowLogic administrator. See How do I set permissions on Sections and Forms?

Who sees notices

  • Staff need access to the Notice Board Section to see notices.

  • Each notice belongs to an Area. Staff without access to that Area won't see it, even if they can open the Notice Board. If a staff member is missing notices, check the Areas on their user profile.

  • You can choose which Groups can see the Notice Board, but you can't send one notice to selected Groups only.

Finding and filtering notices

The Notice Board list has a search box and filters for Area and Status, so you can show only Active notices or notices for one Area.

Removing old notices

The Notice Board table on the dashboard only shows notices from the last 30 days, so older notices drop off it by themselves. To retire a notice sooner, you can archive it or delete it.

Archive the notice to take it out of the active list. Filter the Notice Board list to Only Active to hide archived notices. Staff who can read the Notice Board may still be able to find archived notices.

Delete the notice if you don't want staff to see it at all:

  1. Note the notice's UID from the Notice Board list.

  2. Go to Record Management and open Primary Records.

  3. Search for the record ID and edit the record.

  4. Mark the record as deleted and save.

Nothing in FlowLogic is ever fully deleted. A deleted notice can be restored from Record Management if you need it back. You need access to Record Management to do this, so ask your FlowLogic administrator if you can't see it.

Letting staff know about a new notice

To email, SMS or notify staff when a notice is posted, create a record automation that runs when a new Notice Board record is added. See How do I create a record automation?

  • Send a short message with a link to the notice rather than the full text. Long notices can be cut off in emails and SMS.

  • To only contact staff in certain Areas, add a condition on the record's Area to the automation.
